General Description
The payroll and benefits accountant will manage all aspects of the payroll and benefit processing.
Exercises independent judgment and discretion in planning and carrying out the details of the payroll and benefit function.
Works with limited supervision while providing an accurate and systematic payroll and benefit service in an evolving and changing environment.
Primary Responsibilities
The duties listed are typical, but not exclusive:
• Process semi-monthly payroll and benefits for approximately 400 staff members with a high level of accuracy, confidentiality, timeliness, organization with strict payroll and benefit deadlines.
• Implements, maintains, and reviews payroll and benefit processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other authorized deductions.
• Calculates annualized pay, making any necessary adjustments to reflect new hires, leaves, and resignations, keeping accurate payroll records detailing these changes.
• Works closely with internal departments (HR, principals, etc.
) and staff members to investigate and resolve questions, concerns, and issues, etc.
• Works closely with payroll provider (Paylocity) to resolve any issues, process payroll, and quarterly/year end reporting (W-2’s, 1099’s, taxes)
• Responds timely and professionally to staff member (both current and former) inquiries regarding pay, garnishments, deductions etc.
• Completes in a timely manner all Verification of Employment and Earnings requests.
• Routinely maintains, monitors, and updates time off requests (when necessary) and timecard punches for part time staff.
• Audit records to ensure accurate salaries, insurance deductions, retirement deductions, and garnishments.
• After each payroll cycle, process necessary accounting entries to record the transaction in the accounting software.
• Process the retirement payments and report to the agencies and record the transaction in the accounting software.
• Process the necessary entries for payroll related invoices to Accounts Payable for payment.
• Follows and maintains knowledge of all district policies and procedures.
• Comply with applicable district, state, local and federal laws, rules, and regulations.
• Perform other related duties as assigned or may be necessary.
• Generate effective communication, good relations, and a positive image with external customers and coworkers promoting courtesy, objectivity, and fairness.
School Activities
Payroll and benefit accountant is required to attend and/or participate in such other activities as directed by the Administrator such as: faculty meetings (before or after school hours) and open houses in the role of collecting funds for the school.
Requirements:
Qualifications
Associate degree preferred.
Three to five years of payroll, benefit, accounting, or related experience; equivalent combination of education, training and experience which provides the necessary knowledge, skills and abilities will be considered.
Essential Skills and Abilities
• Must be able to work efficiently and effectively with excellent time management skills with proven ability to meet deadlines and exhibit good attendance.
• Strong computer skills are important in this position to navigate a computerized payroll system, and good typing, ten-key skills, and mathematical skills are also necessary.
• Excellent Microsoft Excel skills essential.
• Knowledge of tax policies, payroll, and benefit processes and regulations is essential.
