Emerging from the University's new Strategic Framework, ND-EI is a collaborative cross-campus initiative to establish Notre Dame as a premier university for research in ethics, offering superb training for future generations of ethicists and ethical leaders and directing all of our efforts toward guiding and strengthening public understanding of the most significant ethical issues of our time.
The NDIAS is a University-level research institute that will play a signature role in the Notre Dame Ethics Initiative, with an anticipated major rebrand in the coming year.
The Institute convenes an interdisciplinary group of faculty fellows, graduate students, and undergraduate scholars each year to study questions that engage complex ethical challenges of our time and affect our ability to lead valuable, meaningful lives.
Working closely with the managing director, the assistant director serves a vital role in several important areas for the ND-EI and the Institute: financial planning and management, accounting, and budget oversight of endowments, university funding, gifts, expendables, and external grants.
She/he will be responsible for scenario planning related to development efforts and significant benefaction to sustain the NDEI and Institute.
As a skilled communicator of financial reporting, the assistant director will visualize data using spreadsheets, charts, graphs, and other similar tools.
Additional duties include human resources support and operations, including space and IT/AV oversight and planning.
The assistant director will also provide creative solutions, develop processes and policies to enhance organizational effectiveness and guide continuous improvement related to financial and operational tasks.
The assistant director will participate in financial and operational strategic planning with the director and managing director.
In doing so, she/he will work closely with the Office of the Provost, meeting regularly with the finance team to ensure financial alignment and processes.
Further, the assistant director will collaborate with departments, institutes, centers, and/or initiatives associated with the ND-EI and the Institute, the Division of Research, the Controller, Facilities Design and Operations, and Human Resources.
In addition, the assistant director will communicate with external partners including other academic institutions, grantors, and vendors related to financial transactions, reporting, and purchases.
As a vital member of the Institute staff, the assistant director will report to the managing director.
This is a limited-term position for three years with the intention to make it non-limited once funding is secured.
Occasional evening and/or weekend work is required, particularly during high-volume financial seasons.
FINANCE: Financial management, budget oversight, scenario planning and forecasting of the Institute, and the ND-EI, including the ND Technology Ethics Center and the IBM-Tech Ethics Lab financials, along with external grants associated with the work of the Initiative and Institute.
Work with the managing director to prepare and plan the annual budget, quarterly grant reporting, and budget proposals for future grant submissions.
Coordinate and track internal and external funding commitments, including cost-share, faculty and postdoc research awards, external subgrants, and fellowship stipends.
Execute all financial tasks, including journal vouchers, expense reports, payment requests, reimbursements, reconciliations, and the day-to-day general management of ND-EI and Institute funds.
Review and generate internal guidelines, processes, and procedures for financial transactions, and train staff accordingly.
HUMAN RESOURCE SUPPORT: Serve as the main point of contact for the Division of Human Resources by having fluency with HR policy and practices, engaging HR and the Office of the Provost as needed.
Assist with the implementation of HR policies and practices.
Support all aspects of searches and hiring of new positions, shared positions, limited term positions, restructured positions, onboarding, and paperwork related to separation.
Knowledge of and an emphasis on recruitment of diverse applicants and the integration of diversity, equity, and inclusive practices within the workplace culture are strongly preferred.
Working closely with the managing director, identify and/or lead professional development opportunities for staff, including biannual staff retreats, talent review and other professional training options.
Develop and help to implement team-building activities that cultivate collaboration, creativity, psychological safety, and fun among colleagues.
OPERATIONS: Support the maintenance, expansion, and renovation of the ND-EI,Institute, and the ND Technology Ethics Center space.
Identify solutions to legal compliance, immigration issues, 15 and/or other complex situations that present themselves for visiting scholars or students.
Assist with ensuring proper applications of policies and procedures and recommend changes to improve/update workflow, processes, and a project management system to strengthen alignment and efficiencies in an environment with a growing number of projects and stakeholders.
Assist with OIT support as needed.
SPECIAL PROJECTS: Support special projects as assigned by the director and managing director related to stewardship, data collection, grant research, or other strategic priorities to advance the ND-EI and Institute.
Minimum Qualifications: Bachelors degree in accounting, finance, or related field.
5+ years of relevant work experience.
Experience preparing financial reports, operating budgets, endowments, grants, university funds, gifts and expendable resources.
Proficient in Google applications and Excel sheets.
Skilled in scenario planning and forecasting.
Detail-oriented and highly organized.
Strong collaborative and teamwork skills.
Preferred Qualifications: Effective relationship builder and stakeholder manager across campus and with a variety of external stakeholders including foundations, corporations, benefactors, and higher-ed institutions.
Human Resource experience.
Gifted in communicating complex financial information to non-experts, including visualization strategies.
Strong track record of managing external grants, including financial reporting.
Effective project manager with experience improving workplace processes and efficiencies.
Able to master Notre Dames general ledger system and other financial reporting and HR systems.
Self-initiating and flexible within a growing, fastpaced, high-impact environment.
