Position Summary
The primary responsibility of the Field Payroll Coordinator is to process payroll for multiple branches.
Run reports, communicate to the branches as needed, prepare billing adjustments as needed, send in bill backs, send Missing Time Card reports to the offices for corrections, and VMS reconciliation.
Position Responsibilities
• Collect all time cards for each commercial branch weekly
• Process payroll by imputing time in Avionte Time Entry System
• Communicate with all assigned offices to ensure continuity in hours being processed
• Send payroll hours to offices outside of area as needed
• Communicate with all offices any missing time cards to ensure employees are not being missed
• Balance hours against Avionte Batch Report
• Ensure all required documentation is in the payroll file using the “Payroll Checklist”
• Collect and process employee loan agreement forms from each office
• Prepare invoice/billing corrections as needed by each office
• Prepare employee missed time forms as needed by each office
• Maintain payroll files in an orderly and confidential manner
• Distribute payroll files to the appropriate office when the payroll process is complete
• Prepare client bill-backs as needed by each office
• Communicate with Field Payroll Manager on any issues to ensure resolution in a timely manner
• Process secondary service invoices as needed by each office
• Send copies of timecards to clients as needed
• Perform “Weekly Hour Comparison”
• VMS reconciliation
• All other assigned tasks

Position Qualifications - KSA (Knowledge, Skills, and Abilities)
• At least one year of previous customer service experience or appropriate business experience
• Above average communication skills to communicate effectively with applicants, employees and clients
• A cooperative, team-oriented demeanor, yet also able to work independently
• High School diploma (or equivalent)
• Strong PC skills as these are critical to your success in this role
Physical Requirements and Work Environment
To successfully perform the duties of this job, the staff associate is required to have the ability and skills sufficient to communicate and visit other offices, prospects and clients.
In addition, the staff associate must have the ability to stand, walk, stoop, kneel, crouch and manipulate light to medium weights of 10 - 50 pounds.
Requires good hand/eye coordination, arm/hand/ finger dexterity including the ability to grasp and visual acuity to use a keyboard, operate office equipment and read and write the application information.
The staff associate is frequently required to sit, reach with hands and arms, talk and hear.
